MONTHLY MEETING MINUTES
April 18, 2018
The TMAC meeting was called to order by Chair, Bruce Eberly at 3:00 p.m. in the Tanglewood Club House. The meeting opened with the Pledge of Allegiance and prayer. Estimated number in the audience was 15.
Roll Call was taken by the secretary, Donna Scorse. There was a legal quorum. Committees that were not represented: Bingo, Decorating.
Minutes from March’s meeting were sent out prior to the meeting to all committee members. A motion to approve without changes came from unanimous voice support.
TREASURER’S REPORT: MARILYN SCHOPPENHORST
Treasurer’s report had previously been sent out to all committee members. The beginning balance for the month of March was $125,600.79. After expenses, committed funds and deposits, available funds remain of $139,257.25. TAG mentioned that there was a typo in their TMAC fund balance; this correction was noted. A motion to approve the treasurer’s report with the above listed change came from unanimous voice support.
State and federal taxes have been filed.
TANGLEWOOD’S COMMUNITY MANAGER REPORT: No report was given as Tammy Martin was not present.
TANGLEWOOD’S ACTIVITY DIRECTOR’S REPORT:
Billie stated that she had not been sent an agenda or the minutes from last month’s meeting. It was stated that the Chair and Vice Chair of Water Volleyball have resigned. The formal election of new officers will take place with Billie presiding. The date, time and location of this meeting will be made public once scheduled.
Windows 10 is the topic of this month. Facebook configurations are currently being worked on. Meetings are held on the fourth Friday of every month at 2:00 p.m. in the Community Room.
There will be no “large” bands scheduled in the summer months. $250. Is currently the going rate for larger bands during our “in season”. January, February, March and December are the most expensive months for band bookings. “Small” entertainment will continue during the summer months.
Tech reservation forms need to be submitted by the fourth Monday of each month.
TRIPS AND TRAVEL:
There was no written report from this committee. No notes were taken pending receipt of their written report.
The last meal of the season was served this month. Special meals will resume in October.
Meetings have been suspended during the summer months and will resume in October. There are currently 190 members.
April 7 was the last tournament of the season. Next season tournament is scheduled for October 6, 2018. The 2018-2019 season schedule is being printed.
Country Breakfast will continue throughout the summer months. 208 tickets have been sold for April’s breakfast scheduled for April 21st.
June 23rd is the next scheduled event. This will be a Southern Gospel night. Currently only snacks and drinks will be served. This is the last performance until October, 2018.
The Bylaw Committee report was overlooked during the meeting and tabled for next month.
MODEL YACHT CLUB:
Most members have returned north. Sailing times are on Tuesday and Thursday at 1:00 p.m. When the summer heat is in full swing the days will remain the same but times will be changed to 10:00 a.m.
Tennis plays daily Monday – Friday at 9:00 a.m. This is subject to change as more residents go north. Change in schedule will be posted on TWRTimes. No meetings will be held from May – September. New players are always welcome. Racquets and balls are available.
The golf cart poker run was a huge success with over 200 participants. There will be a July 4th golf cart parade held at 9:00 a.m. More information to follow. A blind draw poker run will be held on July 18th. More information to follow.
Progress is being made as they formulate their new direction. They are working on their bylaws and are brainstorming new ideas to become more efficient. The shop will be cleaned and repainted this summer. A copy of their bylaws was submitted to TMAC.
Genealogy will resume with their meetings on November 7th. A full calendar of planned activities for the start of the season in November is being worked on. Their goal is to help researchers develop skills and become aware of resources that can be used to find their ancestors.
Last meeting of the season will be held on April 24th at 9:00 a.m. in the wood shop.
Both the Chair and Vice Chair have resigned. A date and time will be forthcoming, once scheduled, for the election of new officers. Formal resignation letters will be requested from the Chair and Vice Chair. Billie will preside over the election process.
Attendance is running around 40. Next pot luck is scheduled for May 8th. No dinners scheduled for the months of June, July and August.
Table games will continue throughout the summer. A list of games being played and their times is located on the bulletin board within the Community Room. Tripoli is being played on Saturday evenings at 6:30 in the Community Room.
They are breaking even on their entertainment. Dances will continue throughout the summer. The cost of booking bands is going up – the coming season of 2019 will see the cost between $200 – $250. Advertising is being considered to increase attendance.
For the fiscal year March 1, 2017 – February 28, 2018 the library checked in and filed 10,718 books and DVD’s. For the month of March 1,279 books and DVD’s were filed and checked in.
Three games are being played every Monday through Friday at 10:00 a.m. Beginning April 30th starting time will be 9:30 a.m. and two games will be played due to the summer heat. All are welcome.
Training of new writers will be completed next month. It is requested that groups and committees provide TWRT with their news for publication. TMAC committees please send in your summer activities. All information is welcome; movie reviews, restaurant reviews etc. Please submit ideas for new feature articles. Readership is high and they average over 4,000 unique hits every month.
Bruce discussed a new Borrowing and Lending equipment policy between TMAC committee members. An in-depth discussion followed between committee members dealing with “renting” equipment between committees and “loaning” equipment between committee members. It was decided that the rental of equipment between committees will be eliminated. A document will be prepared for approval that will be used between committees for all loaned equipment.
Members opinioned about the return of damaged equipment and where the financial responsibility fell for repairs and/or replacement, if necessary; i.e. TMAC or committees. There was no resolution and this was tabled for further discussion.
All committees should be sending in their three year budgets to the attention of Donna by next month’s meeting.
There will be no TMAC meetings for the months of June, July and August. This motion was taken to the committees and was passed by unanimous voice vote.
Bill Rulli provided details on the past garage sale. Income totaled $1,198.00 with expenses at $261.62. This is down approximately $250.00 from last year. Bill is requesting that all committees volunteer one member to work one hour; this will eliminate having to search for volunteers.
